A Solo Woman Traveling LLC products (“Experiences”) are governed by the following Terms & Conditions (“Terms”). By booking an Experience and placing a deposit, you acknowledge and agree to these Terms.
Agreement of release and waiver of liability and booking conditions:
Release & Assumption of Risk
At A Solo Woman Traveling LLC, we carefully plan every detail of our experiences — from the boutique stays to the local partners we collaborate with. That said, travel is never risk-free. When you join one of our trips, you acknowledge that there are inherent risks involved, just like if you were traveling on your own.
We’ll always be upfront about where we’re going and what’s involved, and we’ll be there to support you in a meaningful way. But we also expect you to travel responsibly and make smart choices that prioritize your own well-being.
By booking a trip with us and placing your deposit, you acknowledge that:
- Travel always involves some risk.
- Some destinations may have infrastructure, accommodations, or medical facilities that differ from what you’re used to.
- Activities on our trips may involve physical movement, unfamiliar terrain, cultural differences, or unexpected weather conditions.
- Some destinations may have higher rates of crime — and you’ll be expected to take normal safety precautions.
By joining us, you accept these risks and agree not to hold A Solo Woman Traveling LLC or our team liable for any personal loss, injury, delays, or damages connected to your participation.
Health & Medical
We require all travelers to carry travel medical insurance. Medical care varies widely by country, and in some places, getting prompt or quality care may be challenging. If you have a medical condition or concern, let us know ahead of time so we can work with you to accommodate your needs if possible.
By booking a trip with us, you confirm that:
- You are healthy enough to participate in the experience you’ve booked.
- You haven’t been told by a doctor not to travel or participate in physical activity.
- You are not aware of any health issue that could affect your safety or that of the group.
We may ask for a doctor’s note in certain cases — all medical info shared with us is kept confidential.
We’re not medical professionals, so it’s your responsibility to know your own limits and to make sure you’re covered in the event of illness, accident, or medical evacuation. All costs related to medical care during the trip are your responsibility.
Booking & Payment
To hold your spot, we require a non-refundable deposit of either €500 or 20% of the trip price, depending on the specific tour. The deposit amount for your selected tour is shown at checkout. The remaining balance is due no later than 45 days before your trip’s start date. If you’re booking less than 45 days out, payment in full is required at the time of booking.
If your final payment isn’t received on time, your spot may be forfeited without refund.
Required Documents
You’re responsible for having all required documents, including:
- A valid passport (with at least 6 months left before expiration)
- Visas (if needed)
- Any necessary permits, vaccines, or health documentation
We’ll give you guidance, but ultimately it’s on you to gather everything you need. Failure to do so could result in being unable to travel — and we can’t offer refunds in those cases.
We require proof of travel insurance at least 45 days before your trip, or within one week of booking (whichever comes later).
Unused Services
We can’t refund missed activities due to late arrivals, illness, or other personal issues. We strongly recommend travel insurance in case something unexpected prevents you from participating fully.
Limits on Responsibility
You’re responsible for your own travel arrangements to and from the experience. If your plans change and you incur additional costs (like flight changes), A Solo Woman Traveling LLC is not liable for those expenses. Travel insurance may help recover those costs.
Culture, Drugs & Alcohol
We travel to different cultures, each with their own customs and laws. You’re expected to act responsibly and respectfully at all times.
We have a zero-tolerance policy for illegal drug use and expect travelers to use good judgment with alcohol. If your behavior endangers yourself or others, we reserve the right to remove you from the trip — without a refund.
Group Expectations
We work closely with our partners and take pride in creating memorable trips. We expect you to follow the instructions of our team and guides. If your behavior disrupts the group or puts anyone at risk, we may ask you to leave the trip — again, without a refund.
Force Majeure
We won’t be held responsible for things beyond our control (natural disasters, war, pandemics, strikes, political unrest, etc.). If an experience is canceled or changed due to a “force majeure” event, we are not obligated to provide refunds — though we will do our best to support you.
Travel Insurance (again, because it’s that important)
You’re required to have travel insurance that covers:
- Emergency medical treatment
- Evacuation and repatriation
- Personal injury
We also highly recommend coverage for trip cancellation, delays, and lost or stolen belongings. You’re responsible for understanding what your plan covers — and for making sure it matches the activities and destinations of your trip.

Third-Party Services
We partner with local guides, hotels, and transport providers. While we vet all our partners, we can’t be held responsible for their actions or service quality. Any issues with a supplier will be governed by their own terms and conditions.
Optional Activities
You might have the chance to explore activities outside the group itinerary. If you do, those are at your own risk. We don’t oversee them or guarantee safety — so choose wisely.
Photo & Video Release
You understand and agree that A Solo Woman Traveling LLC may capture photos and video footage during the trip that may include you. These images may be used for promotional or commercial purposes, including on our website, social media, and marketing materials, without compensation to you.
You also acknowledge that these photos or videos may be shared with trusted third-party partners for joint marketing purposes—again, without any payment or further permission required.
Complaints & Feedback
We take your experience seriously. If something isn’t right, please let your trip leader know ASAP so we can try to fix it.
If you want to file a formal complaint, please fill out the contact form, within 30 days of your trip ending — and include any relevant documentation.
Legal Stuff
These terms are governed by the laws of the State of Delaware.
If any part of these terms is deemed invalid, the rest will still stand. This agreement applies to you and your legal representatives and is binding for any bookings made with A Solo Woman Traveling LLC.
Cancellations & Changes
If you need to make changes, here’s how we handle it:
- If you postpone your trip more than 125 days before departure, you will receive a travel credit for the amount paid, less the non-refundable deposit (€500 or 20%, depending on the trip).
- Travel credits are valid for 12 months from the date of cancellation and may be applied toward any future A Solo Woman Traveling trip.
- If a trip is rescheduled a second time, a €500 change fee will apply.
- Within 125 days of departure, all payments are non-refundable and non-transferable. No credits, refunds, or changes can be made.
Travel Insurance & Reimbursement
Travel medical insurance is required for participation in all A Solo Woman Traveling tours.
You are solely responsible for selecting and purchasing a travel insurance policy that meets your individual needs. Coverage, exclusions, reimbursement amounts, and claim decisions vary by provider and policy.
While A Solo Woman Traveling may recommend travel insurance providers and may earn a commission if you purchase through an affiliate link, A Solo Woman Traveling LLC does not sell insurance, administer policies, process claims, determine coverage, or influence claim decisions.
Before purchasing any policy, carefully review all policy documents, including coverage limits, exclusions, cancellation benefits, and any “Cancel For Any Reason” provisions. Questions regarding coverage should be directed to the insurance provider.
Tour Cancellation Policy and Insurance Claims
All tour cancellation requests are subject to the A Solo Woman Traveling Terms & Conditions.
If you cancel more than 125 days before departure, you may be eligible for a future travel credit in accordance with our cancellation policy. Travel credits are offered solely under A Solo Woman Traveling’s cancellation policy and are not a substitute for insurance coverage.
How a travel credit may be treated for insurance purposes is determined solely by the insurance provider according to the terms of your policy.
Our cancellation policies apply regardless of whether an insurance claim is approved, denied, partially reimbursed, or still under review.
If we cancel your trip for any reason other than force majeure, you will receive a full refund of all payments made to A Solo Woman Traveling LLC.
